What’s Included in the Tracker

Column 1: Company

Write the company name. Keep it simple—no need for the full legal entity.

Column 2: Role/Title

The job title as listed. Include the job ID if you have one (helpful for follow-ups).

Column 3: Date Applied

When you submitted. Critical for tracking how long you’ve been waiting.

Column 4: Status

Use the status key provided:

  • A = Applied (waiting to hear back)
  • S = Screening (recruiter call scheduled or completed)
  • I = Interviewing (one or more interviews in progress)
  • O = Offer received
  • R = Rejected (explicit rejection)
  • G = Ghosted (no response after 14+ days)
  • W = Withdrawn (you chose not to continue)

Column 5: Contact

The recruiter or hiring manager’s name. Having this ready makes follow-ups easier.

Column 6: Notes

Anything relevant: salary mentioned, referral used, interview feedback, culture observations.

Column 7: Follow-Up Date

When you should check in if you haven’t heard back. We recommend 7-10 days after applying.


How to Use the Printable Tracker

Step 1: Set a Daily Routine

At the end of each day, spend 5 minutes updating your tracker:

  1. Add any new applications.
  2. Update statuses based on responses received.
  3. Set follow-up dates for silent applications.
  4. Cross out rejections (satisfying, trust us).

Step 2: Color Code (Optional)

For visual thinkers, use highlighters:

  • Yellow = Pending (waiting)
  • Green = Active (interviewing)
  • Blue = Offer stage
  • Red = Closed (rejected or withdrawn)

Step 3: Review Weekly

Every Sunday, review your tracker:

  • How many applications sent this week?
  • What’s your response rate?
  • Which sources are performing best?
  • What needs follow-up this week?

Step 4: Archive and Start Fresh

When a page fills up, don’t throw it away. Store it in a folder. After your search is complete, you’ll have a record of:

  • Total applications sent
  • Companies you’ve connected with (potential future employers)
  • What worked and what didn’t
