How to Use These Templates

1. The Google Sheets Tracker

Our Google Sheets template is designed for speed.

  • Status Column: Use the dropdowns to switch between Applied, Interviewing, Offer, and Rejected.
  • Response Rate Formula: The top row automatically calculates your response rate (Interviews / Applications).
  • Follow-Up Date: Conditional formatting turns this cell Red if you haven’t followed up in 7 days.

2. The Notion Dashboard

For visual thinkers, the Notion template offers a Kanban Board view.

  • Drag and drop cards from “Applied” to “Interview”.
  • Inside each card, you can paste the full Job Description for reference.
  • Link your specific Resume PDF to each card so you know what you sent.

3. What to Track (Key Columns)

Regardless of the tool, ensure you track these 5 datapoints:

  1. Job Title & Company: Obvious, but essential.
  2. Application Date: Critical for knowing when to follow up (usually 5-7 business days).
  3. Specific Resume Used: Did you send Resume_v1 or Resume_Product? (See our guide on Tracking Variations).
  4. Source: Did you find it on LinkedIn, Indeed, or a referral?
  5. Status: Where are you in the funnel?

Strategies for Success

  • Batch Your Applications: Apply to 5-10 jobs in one sitting, then log them all (or use JobPilot to log as you go).
  • Review Weekly: Every Friday, check your “Applied” list. If it’s been 10 days with no response, move it to “Archive” or send a follow-up.
  • Analyze Your Data: If you have 50 applications and 0 interviews, your Resume is the problem. If you have 10 interviews and 0 offers, your Interview Skills are the problem. You can’t fix what you don’t track.
